Oxford Summer Courses was founded by a network of Oxford alumni who were determined to share the magic of the university and the city with the wider world through the Oxford Summer Courses offering. Since 2010,we have expanded around the world, and are one of the fastest growing education companies in the UK and Europe. 

Our Student Services department is integral in fostering and maintaining relationships with our students, ensuring their experience on our courses is everything we promise.

About the role

You will provide support in the administration of student requirements in Salesforce and work closely with the Operations and Academic departments to ensure efficient allocation of resources. In addition, you will gain an intimate understanding of the after-enrolment process and participate in its delivery.

You will provide information to students and their parents and provide practical advice and information around details such as transport and visas.  You will need to develop expert product knowledge to work independently in support of your team.

Main duties 

Customer Services

  • Responding to enquiries (via LiveChat) from enrolled students
  • Collection of key information from students, including arrival and departure information
  • Maintenance of accurate student information in the CRM (Salesforce)
  • Administration of student correspondence including offer letters and invoice statements

Student Management

  • Collection and sorting of student placement information
  • Support student allocations and diverts 
  • Smooth coordination of student arrivals 
  • Assistance with the balance collection cycle including use of Flywire
  • Assisting in cancellations and refunds

Courses Management

  • Course availability - monitoring and maintaining subject and product availability in close conjunction with Sales & Admissions, Academic and Operations teams
  • Support the dissemination of accurate, on-brand, and supportive student communications within the CRM (Salesforce) 

Delivery Support

  • Rooming allocation 
  • Classroom timetabling

Minimum requirements

  • Experience in a similar administration role
  • Attention to detail
  • Friendly and engaging with a strong work ethic; a team player with high standards
  • Strong organisational and task management skills
  • A strong and diplomatic written and verbal communicator
  • Excellent IT proficiency including Excel

Practical details

  • Pay: 18-21K per annum, bonus for achieving personal and company-wide goals
  • Start: Immediate
  • Central Oxford or Cambridge location with flexible/ agile working possible
